Getting paid

Getting paid faster: five habits that cut the wait

Most slow payments aren't the client being difficult — they're the invoice being late, vague, or hard to pay. Five habits close that gap.

There's a stretch between finishing a job and money landing in your account, and most of it is made of admin. The good news: the admin is where the fastest wins are.

1. Send the invoice the day you finish

An invoice sent while the job is fresh gets approved by someone who remembers agreeing to the work. The same invoice sent ten days later joins a queue and invites questions you'll answer over the phone. If invoicing is the last step of the job — not a job for later in the week — you keep the client's memory on your side.

2. Describe the work so it stands on its own

"Labour" and "parts" invite a query; "Boiler service and repair, 14 Mill Lane — 4.25 hours" doesn't. When the description reads like the job, the person holding the invoice can approve it without ringing you — and each avoided query is days off the payment.

3. Break out labour and materials

Show the hours and the rate, show the materials, then show the total. A blended figure looks like something to negotiate; a breakdown looks like arithmetic. The cost of the materials alongside labour charges also means you stop absorbing the parts bill yourself.

4. Make paying effortless

Put the payment details on the invoice, clearly, so no one has to ask for them. If a client has to email you for your bank details, the payment loses another few days to an inbox.

5. Know what's outstanding at a glance

Chasing is hard when you don't know what's unpaid. A simple view of sent, paid and outstanding invoices turns "I think the café still owes me" into a two-minute follow-up. It's also how you spot a habit — one client who always pays late — before it costs you cash flow.

The pattern behind all five: remove every reason the payment can stall. Send promptly, describe clearly, total transparently, make payment obvious, and keep the record where you can see it.
